PORT & TERMINAL

The port as a whole - and the people within it

Inphiz ensures that the right person is in the right place, with the right authorisation and a verified understanding of safety rules — traceable in real time. Built for security-sensitive port facilities under ISPS, NIS2 and the Swedish Transport Agency’s port regulations, where an access card alone is never sufficient proof.

Why ports choose Inphiz

In a port environment, employees, subcontractors, temporary staff and visitors move across the same security-sensitive areas - often in line with vessel arrivals and within short time windows. Access through an entry card shows who is allowed to enter. It does not show whether the person has completed the correct onboarding, read the applicable safety instructions or holds valid permits for forklifts, cranes and overhead cranes.

Inphiz adds a compliance layer on top of the port’s existing systems: digital onboarding, verified understanding of governing documents and full traceability for each individual - ensuring that access always corresponds to actual, documented requirements.

With Inphiz, three things disappear: binders and Excel lists, manual forms for each subcontractor, and audit gaps during ISPS inspections and NIS2 supervision.

Onboarding - everyone ready from the first port call

A port does not only onboard employees. It also onboards subcontractors, temporary staff and visitors who need to be part of daily operations. Everyone receives the same clear start, the same access to the right documents and the same requirement to confirm understanding, regardless of site.

  • Self-service for employees, subcontractors and contractors - with verified login through BankID, Freja and Nordic/Baltic eID (see Identity & access →)
  • Fast upload of training certificates, authorisations and qualifications
  • Off-boarding made just as easy, with archiving in accordance with regulatory retention plans

Communication - information that gets through

Targeted and traceable information for employees and subcontractors across the entire port. Read receipts and AI-supported questions ensure that messages are not only sent, but also received and understood. The noise disappears when everyone gets exactly what they need, in the right language and at the right time.

  • Targeted information by role, site and access group - in the right language, at the right time
  • Instant read receipts with full traceability
  • Chat and private messages for fast dialogue and delegation

Management Systems & AI - governing documents that stay alive

Safety instructions, port security plans and policies are gathered in the app - always in the correct version. The AI assistant answers questions about the content and translates PDFs, while AI-generated control questions verify that the person has truly understood before access is activated.

  • Digital approval process for policies and governing documents - automatically updated when changes are made
  • AI questions based on governing documents confirm understanding, not just reading
  • Support for ISO 9001, 14001 and 45001 - making audits a confirmation of what is already happening

Regulations in scope

The ISPS Code
The ISPS Code, under IMO/SOLAS XI-2, entered into force on 1 July 2004. It sets requirements for controlled access and security awareness in port facilities. Transportstyrelsen: Sjöfarts- och hamnskydd

NIS2 / the Cybersecurity Act
NIS2 and the Swedish Cybersecurity Act place increased demands on risk management, traceability and management responsibility within the transport sector.Transportstyrelsen: Cybersäkerhet (NIS2)

Port security regulations
The port security framework sets documentation and security requirements for each port facility.Transportstyrelsen: Regelverk för hamnskydd

Compliance & Safety - structure and control in real time

A complete overview of competencies, authorisations, driving permits and certificates - directly in real time. Everything that was previously scattered across binders and siloed systems becomes active, automatically updated and traceable for each individual.

  • Digital driving permits for forklifts, cranes and overhead cranes - with automatic renewals, up to 40 times faster than manual handling
  • All documentation traceable and gathered in one place - who approved what, when, and against which version
  • Built for the ISPS Code, NIS2/the Cybersecurity Act and the Swedish Transport Agency’s rules for maritime and port security

This reduces the risk of regulatory orders and penalty fees - while giving management real-time control and accountability.

Operational Analytics & Insights - see the situation before it becomes a problem

A unified view of the port’s operational health: compliance, competence status and renewal needs in real time - without logging in to five different systems. Predictive analytics flags what is about to expire before it affects operations.

  • Data-driven overview of compliance and workforce status
  • Automatic identification of certificates and authorisations expiring within 30, 60 or 90 days
  • Predict regulatory risks before non-compliance or operational disruption occurs

IAM 2.2

Subcontractors & Access - when access alone is not enough

In security-critical port environments, it is not enough to know who a person is. Access also requires that the individual has the right competence, has reviewed the applicable safety instructions and meets the requirements for the site and role.

Inphiz does not replace the port’s identity or IAM system, such as Seriline Serix. Inphiz strengthens it. IAM verifies who the person is and what access can be assigned. Inphiz verifies that the person has met the correct requirements to actually receive or retain that access. The combination of identity, validation and traceability creates a modern, sustainable security model.

Identity is already verified during onboarding through BankID, Freja and Nordic/Baltic eID, ensuring that self-service for employees, subcontractors and contractors is always linked to a confirmed identity. This is the same identity that the IAM system then connects to physical access.
